Everyday we strive to save time in our daily routines. Whether it be work related, time at home with family and friends, or even trying to factor in a much needed walk or run into our busy schedules.
Recently I came across a really thoughtful quote by the late jazz musician Miles Davis;“Time isn't the main thing. It's the only thing!”
Work-life can be demanding and so saving the time of employees when completing manual daily tasks, is an incentive which businesses are always looking to reap rewards from.
With this in mind I would like to share with you the story of how one of the world’s largest insurance brokers, Aon, have embraced this initiative. The firm were looking at new ways to improve processes, drive productivity, increase efficiencies and compliance, throughout the business.
As with such a large organization, there were difficulties when recording and sharing information. A combination of Excel spreadsheets and paperwork were a regular occurrence throughout the business, which didn't align with the IT department’s digital transformation strategy.
Replacing legacy processes with streamlined, automated processes was the task presented to Robbie Molloy, Product Manager, Aon who is responsible for SharePoint services within the organization. A solution to customize workflows, quickly and easily that integrated with the Microsoft platform was high on his wish list.

One of the first on Robbie's list was to automate a HR Onboarding/Offboarding system for new hires and leavers. This was to ensure that an auditor had a workflow safeguarding that nobody had access to information or systems that they shouldn’t. Ultimately when someone leaves the company, their access to confidential files and folders are removed.

Aon have also automated an Insurance Vetting System, for onsite contractors. The second has proved to be a game-changer, mitigating exposure to liabilities when contractors work on site. If contractors/suppliers arrive to the site office at a building site without the correct insurance requirements, they can easily see what stage the process is at that is causing the issue. This process previously involved several phone calls and email chains to have such a matter resolved.“We give clients peace of mind,” said Robbie. “They can log in to the portal and make sure the correct insurance is in place.”
Streamlined and sleek processes are now a regular occurrence across the organization. The amount of time taken to complete previously manual processes for Aon employees, has been significantly reduced. Tasks can now be completed in hours rather than days or weeks.“We can now build a fully functional flow in less than a day, which is much preferable to a six month project,” Robbie added.
